Sale Information [Back to Top]
Sale information includes name of sale, dates of sale, sale email and website, default fees and retained sale percentage, arrangement of information on tags, and layout of tags on a page for printing. This information is called a sale profile.
Information furnished by the sale is used to create a sale profile by the TagIt software developers. This sale profile is available for download from the TagIt website by the sale owners for import into TIM and by consignors using TagIt or TagItLite for the specific sale.
Multiple sale profiles can be maintained for separate sales although TIM presupposes that only one sale is operating at a time.
Historical information is kept for each sale.

Any person involved in a sale--whether consignor, customer, volunteer, vendor or other—is entered once in TIM.

Personal information includes name, business, address, phone, email or website. Any change in information only needs to be updated at one place.

TIM checks for a duplicate name when adding a new name.  It checks for existing names with the same last name, email, address, or phone number as the new name.

Find any existing name with a few keystrokes. 
Search or sort by name, business, address, city, phone, or email.  This makes it possible, e.g., to find an existing name if you only have the email address.
Any person can be linked to a sale as a consignor.  Over time a sales history builds up for each consignor.

Link any person to one or more codes that can be used to select and identify a sub-group of people such as volunteers, customers, or vendors.  (See Codes below.)

Notes can be entered for each person.  (See Notes below.)
Select people by other criteria such as those with an email address, those who have not scheduled a check in time, consignors from the last sale, etc.
Mailing labels or various reports can be produced for all or for sub-groups of people.
Create mailing labels for an “Occupant” if you have an address but no name.
Names can be imported from some other sources such as dbf or csv files.  E.g. a list of names in an Excel spreadsheet can be saved in either format and imported into TIM.
Imported names can be immediately coded as they are imported.
Consignors [Back to Top]

A consignor is a person assigned to a specific sale and given a consignor ID.

Any person in the central name database can be linked to a sale as a consignor.
Various options are available for choosing or assigning a consignor ID including the ID used by the person in the previous sale, the next available ID in numerical order, or a requested ID.
While a number is recommended for a consignor ID, TIM accepts up to 10 alpha or numeric characters.  (Data entry at checkout is much easier with numeric ID’s.)
The sale fee and retained sale percentage are stored with each consignor.  The same fee and percentage can be initially given to each consignor but changed for specific consignors according to sale rules.
A Check In procedure can be used to record the number of items brought to the sale, items removed from the sale, whether an envelope was provided, whether an agreement was signed, etc.  A note can be entered.
A variety of reports are available by consignor including an inventory of items and sale results.  Consignors who use TagIt (but not TagItLite) can be sent an electronic sale report to update their own data after a sale.

Emails can be sent from TIM with a MAPI-compliant email program such as Outlook, Outlook Express, Windows Mail or the free Thunderbird.

Emails can be sent to an individual or to a group of people using various selection techniques subject to the limits of your email software and Internet provider.
Email templates are available that can be selected and used or created by the user.  An email template includes the possibility of merging individual information into each email.  E.g. send an email confirmation for a new consignor that lists the name, address, and phone number for confirmation, or send an email stating the number and dollar values of items sold during the sale.
A note can be created from the content of most emails as a record of contact.

Can be used to assign individual names to various sub-groups.

Are user defined and can be linked to any name.
Can be up to four levels deep.  E.g. if “Consignor” is a first level code, “Consignor:2007Mar” and “Consignor:2007Aug” are second level codes indicating the sale in which the person was a consignor.

Attach codes to names or consignors individually or as part of a batch process.

Select names or consignors using any code.
Search and replace codes as well as other features for maintaining codes.

Can be created and stored with any name.

Can be created individually or for a group based on various selection techniques.
Can be based on emails that have been created and sent.
Can be sorted by date, name, or sale for viewing or printing in reports.

Although it is not necessary, sale items can be entered and stored for each consignor or imported from TagIt or TagItLite users.

Data entry is extremely efficient in TIM, TagIt, or TagItLite.  Key information is “memorized” so that duplicate information can be entered quickly.  E.g. a couple of keystrokes will pull up a matching brand or description, saving much time.
Identical items can be copied multiple times.
Efficient item entry alone makes the program worthwhile to any sale providing a tagging service.
Tags can be printed for each consignor that cannot print their own.  (See Tags below.)
Inventory [Back to Top]
Inventory refers to the items on record in TIM for a particular consignor.  (It is not necessary to enter inventory for each consignor prior to a sale.)

Several ways to get inventory into TIM in addition to direct entry of each item.  (See Sale Items above.)

  TagIt or TagItLite users can export their inventory and send it to the sale owner for import into TIM.  This inventory includes any detailed information entered by the consignors such as item number, brand, description, size, price, gender/category, and discount or donation information.  It is possible for TIM to print tags using this information if a consignor is not able to print their own tags.  TIM can also return sale results electronically to TagIt owners who submit their inventory in this way.
  Another way is for the consignor to submit the number of items by price.  While no description or detailed information is available by item, TIM can use this information to print a bar-coded label that the consignor could place on a tag, even if handwritten.
  If no inventory exists for a consignor in TIM prior to the sale, an inventory is created as items are sold.  If the tags contain an item number, TIM uses the item number and price from the tag.  If no item number is shown on a tag, then TIM assigns an incrementing item number for that consignor in creating the inventory.

An inventory report can be printed for any consignor.

Create time slots for scheduling various activities.

Predefined schedule categories include Check In, Pickup, and Volunteers.
Set the maximum number of people per time slot.
A warning is given if you try to schedule more than one Check In or one Pickup time per consignor.
Other categories can be defined and scheduled,  e.g., create subcategories under Volunteers for specific tasks.
Scheduling is easy to do by right clicking on a consignor or name.  Slots with the maximum number of people already scheduled cannot be selected.
Individual or sale schedules are available for popup viewing.  View or print schedule in several formats.

Generally consignors prints tags themselves using TagItLite (or TagIt).  But tags can also be printed from TIM.

Information about sale items can be printed at various positions on a tag.

Consignor ID, item number, price, brand, description and size are usually included along with any applicable discount or donation options.

Additional information could include gender/category.

A variety of symbols are available to indicate an item can or cannot be discounted or donated according to sale rules.  (It is also possible to select donated items and print on colored paper.  Only lighter colors should be used.)

A variety of options are available for tag sizes and layouts for printing on 8 ½ x 11 cardstock.  Other options exist for printing on mailing labels.

Most options include the possibility of printing a barcode containing the consignor ID, the item number, and discount and donation information.  Barcodes are best printed on landscape tags, perhaps 8 to a page.

Custom tags can be requested from TagIt software developers.

These options can be set separately for each sale.
Generally a sale profile is prepared by TagIt software developers for each sale that includes the layout of information on each tag and the layout of tags on a page.  This sale profile is downloaded and imported by consignors using TagItLite or TagIt.
Consignor Check In [Back to Top]

Option to record information as consignors check in for a sale.

Record the number of items brought and whether any items were removed for any reason.

Option to indicate that an agreement has been signed.

Option to record whether stamped, self-addressed envelope has been provided, if applicable.

Indicate that check in process has been complete for easy status report.

Customer Check Out [Back to Top]

Flexible options to check out customers at point of sale.

Scan barcodes or enter item information manually.

All information is entered automatically if a barcode is scanned.

Barcodes are not required and manual data entry is quick using a numeric keypad if the consignor ID is a number.

  If items are in inventory, entering the item number brings up the price for rapid confirmation.
  If tags contain an item number but there is no inventory, the price must also be added in addition to the item number.
  If there is no item number in inventory or on a tag, TIM assigns an item number automatically.  The price must also be entered.

Up to two tax rates can be configured and calculated automatically.

Discounts can be calculated quickly on eligible items according to sale rules.

Track payments by cash, check, or credit cards.  Multiple payment types are allowed for each customer.

If the customer desires a receipt, a simple or more detailed receipt can be printed.  No special receipt printers are required—a basic home printer will suffice.

Sales are recorded by customer and date- and time-stamped.  A report analyzes the number of customers and sales by the hour.

Customer information such as name and address can be entered or omitted.  If customer information is added, it can be imported into names later.

Prepare a listing of checks for deposit.

Consignor Settlement [Back to Top]

Sorting tags after the sale is not required if TIM is used for checkout since all the information is already available--whether or not barcodes are used.

If TIM is not used during checkout, information from tags can be entered after the sale instead of sorting the tags by consignor.

An optional feature allows for a second entry of sold items from tags that is compared to the original sale results.  This can be used as a double check of tags after the sale if desired.

Consignor information includes the sale fee and retained percentage.

Adjustments can be entered for any consignor for miscellaneous items, e.g. charge for missing stamped, self-addressed envelope, corrections for overlooked items, etc.

A settlement report can be printed showing the amount due each consignor.

Checks can be printed.  Payment information for bank, check number, and amount can be entered for each consignor.

TIM includes an extensive, context-sensitive help system available from within the program by pressing F1 at any time.

The original installation includes sample data and sample tags so the sale owner can learn and become familiar with the program before the sale.

Other Equipment Needed [Back to Top]

Computers (Windows XP or higher is recommended).  At least one is needed to serve as the primary computer.  If TIM is used for checkout, then the sale needs as many computers as required to keep the checkout line moving.  TIM is loaded onto each computer and sale information is merged back to the primary computer after the sale.  Computers do not need to be networked.

USB flash drive.  If you use more than one computer, you need a way to transfer information from one computer to another to merge sale data.

Numeric keypad.  It is important to have a plug in numeric keypad to speed data entry if using a laptop computer.

Barcode scanners.  One scanner is needed for each computer if using barcodes on tags.
Printers.  A printer should be available for each computer for printing out receipts.
USB Hub.  Depending on your computers, you may need additional USB ports to plug everything in.  A hub is a cheap way to go.

TagItLite [Back to Top]

TagItLite is a restricted, time-limited, and scaled-back version of TagIt that can be purchased by a sale owner for free distribution to participating consignors.

Available to consignors of participating sales by downloading from the TagIt website using a username and password distributed by the sale owner.

A sale profile can also be downloaded and imported into TagItLite.  The same username and password is required to activate TagItLite for the sale.

A free barcode font is available if applicable.

Consignor can rapidly enter information for each sale item using many timesaving features.

Sale inventory can be sent electronically to the sale owner and imported into TIM.  This is optional.

TagIt is a full-featured product designed for the active consignor who desires an easy and efficient method for creating tags.  It is particularly helpful to the serious consignor who participates in multiple consignment sales.

TagIt can do anything that TagItLite can do plus much more including tracking sale results and re-tagging items not sold in a previous sale.

TagIt is marketed to the individual consignor.  Consignors are offered a 20% discount for sales providing a link and discount code for TagIt on the sale website or in other sale publicity.  Sale owners earn a commission for each sale using the discount code.
